Organized, tech savvy, and versatile Office Administrator needed for Moseley’s growing Charleston office. In this role you’ll handle an array of office support tasks including greeting visitors, answering phones, scheduling, supply inventory management, travel coordination, and office events. As part of an established design firm’s operational team, the Office Administrator will provide detailed administrative support for Construction Administration and other disciplines. Location: Charleston, SC
Qualifications:
High School Diploma required
2+ years’ administrative experience, previous Architecture, Engineering, or Construction industry experience preferred
Notary Public preferred
Responsibilities:
Answering office phones, greeting visitors, and coordinating travel arrangements
Maintain company vehicle service and schedule
Handle incoming and outgoing mail, packages, and faxes
Provide officewide administrative support for all firm disciplines, including Construction Administration, Engineering, Architecture, Interior Design, Human Resources, Marketing, IT, and Accounting
Organizing and maintaining inventory of all office supplies
General document maintenance including filing, scanning, boxing, and organizing for storage as needed
Arrange lunch order deliveries for meetings and office events
Drafting, proofreading, and formatting letters in Word and preparing spreadsheets in Excel as needed
Offer comprehensive administrative support to multiple teams by performing a variety of administrative and operational needs
Facilitate in-office events and activities
Additional responsibilities as assigned
Required Skills:
Capable of working in a collaborative team environment to meet specific deadlines
Strong ability to communicate clearly, both verbally and in writing
Highly organized with strong attention to detail
Software Proficiencies:
Microsoft Office Suite experience required
Shipping and tracking software experience preferred
Procore and/or Newforma experience preferred
Ability to navigate/utilize Construction Management Software programs such as Procore, Sharepoint, PlanGrid, and Converge preferred
